PRINCE2® FAQ

What is PRINCE2®?

PRINCE2® stands for PRojects IN a Controlled Environment®, 2th version and is recognised as a world-class international product. It is the standard method for project management, not least because it embodies many years of good practice in project management, and provides a flexible and adaptable approach to suit all projects.

PRINCE2® is a process-based approach to project management and is designed to provide a framework covering the wide variety of disciplines and activities required within a project. The focus throughout PRINCE2® is on the Business Case, which describes the rational and business justification for the project. The Business Case drives all the project management processes, from initial project set-up through to successful finish.

The methodology offers a structured approach to control the start, progress and closure of a project.
Whenever you want to deliver or change a new service, product, organizational process or system you need to know what is required, why it is necessary, by when key events need to occur, how it must occur and importantly who needs to be involved. The PRINCE2® methodology provides a step by step guide that will assist the project management team to gather and structure the information necessary to start up a project and provides processes and control mechanisms allowing a controlled execution and closure of the project.

Who owns PRINCE2®?

AXELOS Limited owns the PRINCE2® methodology. The APM Group Limited (APMG) is the certification body responsible for the running of examinations and accreditation of training organizations and trainers.

PRINCE2® is freely available without payment (other than for whatever optional training or support).

Can I use the PRINCE2® logo?

The PRINCE2® Cityscape logo™ and the Swirl logo™ are both trade marks of AXELOS Limited and must not be used without their permission.

What is the difference between PRINCE2® and the PMBoK?

The Project Management Body of Knowledge (PMBoK) contains "all those topics, subject areas and intellectual processes that are involved in the application of sound management principles to... projects". It is an extremely useful reference document detailing nine knowledge areas for Project Managers and often forms the basis of generic project management training.

PRINCE2® is a process-based approach to project management consisting of 7 principles, 7 processes and 7 themes.
It is a non-prescriptive methodology that guides the project management team step by step through what should be done, by whom and when.

There are benefits in allowing both PMBoK and PRINCE2® to co-exist. PMBoK provides the academic knowledge resource that is useful in enhancing the profession of project management. PRINCE2® provides a useable process model that can be applied directly by Project Managers and teams from a diverse range of backgrounds to produce consistent project management and project outcomes.

Do we/I need PRINCE2®?

Let us answer this question by asking you...

Is your organization going through change?
Would you like a controlled approach to manage business change?
Does your organization have an inconsistent approach to manage the start, execution and closure of projects?
In your organization do people not always know and understand their role and responsibilities in projects?
Do you have difficulty prioritising projects?
Do you want to use an approach that demonstrates how to involve stakeholders throughout the life of projects?
Are stakeholders often confused by the terminology used by parties involved in projects?
Would you like to use consistent terminology, processes and project templates across your projects?
Would you like to adopt a project management methodology that is internationally recognised and supported by hundreds of thousands of users around the world and independently managed by an international body of experts?

If you answered yes to one of these questions then I guess you will benefit from the use of PRINCE2®.

Why is PRINCE2® successful around the world?

Perhaps because of its comprehensiveness PRINCE2® is often viewed as "de facto" best practice project management on an international scale.

Project Managers and organizations around the world have strived to produce or develop their own best practice approach for the management of projects.

PRINCE2® offers a Project Manager, a project management team and your organization a consistent set of processes, tools and a language for the management of projects.

Being a generic and flexible approach for the management of "business" projects it can be applied in any business environment. It is not a method that can only be applied by IT staff or people with years of project management experience. Anyone, anywhere in the organization, can learn and use it as it is based on a logical approach to manage any project, be it to develop a car, change a business process or to manage the launch of a new product or service.

It is also a very effective tool for the management of stakeholders and their interests.

Success however strongly depends on how you and your organization chooses to apply PRINCE2®. The method can also be easily tailored to align with existing business processes, workflows and tools.

What are the origins of PRINCE2®?

PRINCE® was first established in 1989 by the CCTA (Central Computer and Telecommunications Agency) and is based on the PROMPTII methodology. PROMPTII is a methodology developed by Simpact Systems Ltd. in 1975.

Following feedback from users PRINCE was enhanced to include new processes and approaches ensuring that it was appropriate for different types of projects and projects of different sizes. This new version was launched in 1996 and became known as PRINCE2®. The methodology is now used widely and recognised as a "de facto" standard for project management.

How can I benefit from PRINCE2®?

Dependent on your role in a project, PRINCE2® can offer processes, tools and techniques to help with your management of projects. It provides a step by step guide on how to control a project, by providing:
An approach to justify the start, continuation and closure of a project
A structure that defines people's roles and responsibilities in a project
A method for the identification and management of risks
Mechanisms to control the quality of products
A more effective planning approach based on "stage by stage" planning principles
Processes and rules to control changes to the project and project deliverables
Control mechanisms that facilitate progress monitoring
An approach to identify when and how to conduct a project review

PRINCE2® qualifications are recognised internationally. The PRINCE2® Foundation and PRINCE2® Practitioner qualifications acknowledge that you can function as a member of a PRINCE2® project and apply PRINCE2® in different business environments and project situations.

Product-based planning

Is PRINCE2® suitable for my projects?

Being a generic approach for the management of "business" projects PRINCE2® can be applied in any business environment.
It is not a method that can only be applied just by IT or people with years of project management experience.
Anyone, anywhere in the organization can learn and use it as it is based on a logical approach to manage any project.

Is it true that PRINCE2® is very bureaucratic?

This is one of the most irritating misconceptions about PRINCE2®. It is based on a shallow analysis of the methodology and is more often an excuse for avoiding a structured approach.

PRINCE2® has been developed for use with any size of project. It is obviously not necessary to throw the complete book at small to medium sized projects. Indeed each of the PRINCE2® processes includes a section on scalability and the architects of the methodology stress that each process needs to be approached with the question, “How extensively should this process be applied on this project?”.

The Foundation level tests your knowledge and understanding of PRINCE2®, the Practitioner level tests your understanding of how to apply PRINCE2® and the Professional level tests your ability to apply PRINCE2® when managing a non-complex project.

If your role is one of being on the periphery of projects, perhaps project administration, sponsor or on secondment, then Foundation level may be suffice. It tells people that you can work within a PRINCE2® project effectively.
If you are a Project Manager, then chances are Practitioner level is the right certification, as it demonstrates the understanding of how to run PRINCE2® projects.
If you are a contractor or external Project Manager, then the Professional level is what you need to show that you have more than just knowledge about PRINCE2® and can effectively manage a PRINCE2® project across its whole lifecycle.
